What does event production include?

Event production covers stage design, AV and sound systems, lighting design, LED walls and visual content, livestream and hybrid broadcast, and technical direction on site, everything that determines how an event looks, sounds and runs live.

What We Produce

Stage Design & Set Build

Custom stage configurations, backdrops, and set fabrication designed around the room, the sightlines and the brand. From ballroom galas to conference main stages.

AV & Sound Systems

PA design, line array systems, wireless microphone management, live mixing and room tuning, engineered for ballroom acoustics, not rented off a list.

Lighting Design

Cue-based lighting design that carries the programme, ambient dinner states, award spotlights, keynote washes, and the transitions between them.

LED Walls & Visual Content

LED screens, projection, motion graphics, lower thirds, and presentation playback. Content produced, loaded and tested before the room opens.

Livestream & Hybrid Broadcast

Multi-camera capture, live switching, encoding and platform delivery for remote audiences, a distinct production layer, engineered as such.

Technical Direction & Show Calling

Run-of-show, technical rehearsals, cue calling and live crew coordination. The layer that makes everything above land on time.

Production by Event Type

Gala Dinner & Awards Production

Awards nights live or die on cue management. The lighting shift as a winner is announced, the video that rolls on time, the music sting that lands, these are production decisions, rehearsed in advance.

We produce gala dinners and award ceremonies where the recognition moment is the centrepiece. Recent: RAS Epicurean Star Award Gala 2025, NEC APAC Business Excellence Awards Gala, MTFA 120th Anniversary Gala Dinner.

Conference & Summit Production

Multi-session conferences require sustained technical coordination, speaker management, presentation handling, session transitions, and breakout support across a full-day programme. Recent: SIAS Corporate Governance Conference 2025, SCWO Summit for Action on Gender Equality.

Town Hall & Internal Communications Production

Leadership communication requires broadcast-grade audio and clean camera work, for the room and the remote audience simultaneously.

Launch & Brand Experience Production

Building inaugurations, brand launches and opening ceremonies, where the reveal moment is the event. Recent: YCH DistriPark Launch, Katoen Natie JLT5 Warehouse Inauguration, University of the Arts Singapore Identity Launch.

Production in Practice

We were impressed by the team's attention to detail and excellent customer service. They accommodated our last minute requests while delivering creative ideas that elevated the overall event experience.

Event Production Across Asia-Pacific

ERS Asia delivers event production beyond Singapore, across Southeast Asia and the wider Asia-Pacific region. Regional conferences, multi-country town halls, and hybrid broadcasts connecting audiences in several markets at once.

Regional production introduces variables that single-market events do not: venue infrastructure that varies by country, freight and equipment logistics, local crew coordination, and time zone management for live hybrid delivery. We plan for those from the brief onward.

How Event Production Works. From Brief to Show Day

1

Production Brief

We scope against the objective, the room, the audience and the programme — not a standard equipment list. Early briefing preserves creative and technical options.

2

Technical Design

Stage configuration, lighting plots, PA specification, LED layouts and camera plans are documented before any equipment is committed.

3

Content & Rehearsal

Visual content is produced, loaded and tested. Technical rehearsals with the crew and speakers reduce the risk of live issues.

4

Show Day

Load-in, sound check, cue calling and live crew coordination are managed by a technical director against the run-of-show.

5

Post-Event

Recordings, content assets and a production debrief are delivered to support post-event communications and future planning.

What to Look For in an Event Production Company

What to Check Why It Matters
In-house Crew vs. Subcontracted Subcontracted crews change between events. Consistency of execution depends on the team, not the equipment.
Technical Rehearsal as Standard If rehearsal is a line item you have to request, it is not part of the production process.
Show-Calling Capability Equipment supply and show production are different services. Ask who is responsible for calling the show and coordinating every cue.
Hybrid as a Designed Layer A camera at the back of the room is not a broadcast. Ask how the remote audience experience is designed and managed.
Venue Experience in Singapore Ballroom acoustics, rigging limitations and load-in constraints vary significantly. Venue familiarity shortens problem-solving time.
Portfolio at Your Scale & Format Production for a 100-person gala dinner is fundamentally different from a 1,000-delegate conference. Look for experience with events similar to yours.

Common Event Production Mistakes

Production Briefed After the Venue is Booked

Technical constraints become locked in before they are properly understood, limiting creative options and increasing production compromises.

No Technical Rehearsal

Preventable issues only surface during the live event, when they are visible to every attendee and difficult to recover from.

Treating AV as Equipment Rental

Without clear technical ownership, no one is responsible for how the entire show runs or how transitions are executed.

Underestimating Hybrid Production

Remote audiences receive a noticeably weaker experience when hybrid delivery is treated as an afterthought rather than a dedicated production layer.

Visual Content Delivered Too Late

There is insufficient time to test presentations, videos and playback, increasing the risk of technical failures during the event.

Stage Sized to the Budget, Not the Room

A stage that is too small or poorly proportioned weakens speaker presence, audience engagement and the overall production quality.

Frequently Asked Questions

What is event production?

Event production covers the technical and creative execution of a live event, stage design, AV and sound, lighting, LED and visual content, livestream, and on-site technical direction. It is distinct from event planning, which covers logistics, scheduling and vendor coordination.

An event production company designs and delivers the technical elements of an event: staging, audio, lighting, screens, visual content, broadcast, and the live coordination that runs the show. ERS Asia delivers all of these in-house for corporate, government and association clients.

Cost depends on scale, format, venue and technical scope, a 100-guest dinner and a 500-delegate hybrid conference sit in very different ranges. Briefing production early allows accurate scoping and avoids the cost pressure that comes from late-stage changes.

AV refers to the audio-visual equipment and its operation. Event production is the wider discipline, it includes AV, but also stage design, lighting design, visual content, broadcast, rehearsal and show calling. AV supply alone does not produce a show.

Do you provide livestream and hybrid event production?

Yes. Hybrid production is designed as a distinct layer, multi-camera capture, live switching, encoding, and audio routed specifically for remote audiences. See hybrid event management.

For events with custom staging, complex lighting or hybrid delivery, brief production at the same time as the venue search, typically 8–12 weeks out, and earlier for large conferences. Late briefs reduce design options and rehearsal time.

Yes. We deliver regional conferences, multi-country town halls and hybrid broadcasts across Southeast Asia and Asia-Pacific.
